Notice version 2026-10-13.1 · Effective 13 October 2026.
Who handles your information
Apostolic Faith Mission of Portland Oregon (Southern & Eastern Africa) is the organisation responsible for the event registration information described here. Contact the church office at Stand 10466, Lusaka, Highfields, Harare, Zimbabwe, telephone +263 242 885 654, or privacy@apostolicfaithsear.org about privacy, consent or your personal information.
Provisional Data Protection Officer (DPO): T. Msindazi. Address privacy requests and consent withdrawals to their attention using the contact details above.
What we collect and why
Depending on the event, we collect names, contact details, age groups, gender, marital status, country, branch, ministry roles, arrival/departure details, accommodation, transport and volunteering choices. These support event administration, check-in, room allocation, catering, transport and communications about your booking. Required fields are identified on each form. If necessary registration information or required processing consent is missing, we cannot complete the online booking; contact the event team to discuss alternatives.
Church attendance and branch or ministry details can reveal religious affiliation. We explain this in the registration consent. Only provide dietary or health information needed for catering and safety. Next-of-kin information is for emergency contact purposes; obtain their agreement before sharing it.
Registering another person or a child
For a couple, both spouses must read this notice. The person completing the form confirms their spouse authorised submission and records separate media choices for each spouse. For children, the submitter must be their parent or legal guardian, authorise their registration, and record each child’s photography and video choices. Consider the child’s wishes. Reception may ask you to confirm your authority; do not upload identity documents unless a specific, justified verification process is explained.
Photography, filming and livestreaming
Photography and video are separate, optional choices, initially unchecked. Photography consent covers identifiable photographs and their publication. Video consent covers identifiable video/audio recording, livestreaming and publication. Intended channels are the church website, official Facebook and YouTube channels, and church publications for event reporting and ministry communications. We do not treat registration or attendance as media consent.
Declining either choice does not affect attendance, accommodation or other event services. Tell reception and the media team before entering a camera-covered area so they can arrange a position outside camera coverage. A close-up, testimony, interview or new use outside these stated purposes needs a separate check of consent. We do not publish children’s contact details or pair their full names with identifiable images.
Public photographs and videos may be downloaded or shared by others. A livestream cannot be recalled once transmitted. You can withdraw consent for future recording or publication; we will review removal of existing material from channels we control but cannot guarantee recovery of third-party copies.
Who receives information
Authorised church registration, reception, accommodation, catering, transport and media teams receive only information necessary for their tasks. Accommodation or transport providers may receive booking details needed to deliver those services. The media team receives names and media choices, not dietary information or emergency contacts.
The website uses hosting services, the AFC Assistant registration service for Annual Camp, and Google Apps Script/Sheets for event records and the consent register. General website enquiries use Formspree. These services may process information outside Zimbabwe. They must be assessed and governed through suitable processor arrangements and the applicable transfer requirements; a consent checkbox alone does not replace those requirements. Event registration details are not automatically added to marketing lists.
How long records are kept
Routine registration details are scheduled for deletion or anonymisation 90 days after the event ends. Unsuccessful submissions are included in this review. Financial records and records required for a legal obligation or dispute are handled separately for the justified period. Copies in exports, email, backups and service-provider systems must be included in the retention process.
Consent evidence and withdrawal records may need to remain while associated identifiable photographs or recordings are retained or published, and for a justified legal need. They are reviewed separately from routine bookings. Withdrawing consent is recorded so future use can be prevented.
Your rights and changing choices
Contact privacy@apostolicfaithsear.org to request access, correction, applicable deletion, object to processing, or change/withdraw consent. Include your event and registration reference or name, and the request; do not email identity documents or health details unnecessarily. We may verify your identity proportionately. Requests involving another adult require their authority. Withdrawal does not undo processing already lawfully completed; the team will explain any effect on arrangements and any justified records it must retain.
You may raise a complaint with POTRAZ, Zimbabwe’s Data Protection Authority.
